Suffolk County Clerk Background Check Records

The Suffolk County Clerk's Office is in Riverhead at the Suffolk County Center, 310 Center Drive, Riverhead, NY 11901. Phone is (631) 852-2000. Office hours run Monday through Friday, 9:00 AM to 4:00 PM. The clerk holds Supreme Court and County Court records, making it a key stop for any background check in Suffolk County.

Court files at the clerk's office include felony case records, civil filings, judgments, and liens. You can visit and look at records in person at no charge. Getting copies costs about $0.65 per page. Certified copies are more. A name search runs $5 per two-year period. For a broader search, add more years at the same rate per block.

Suffolk County also has one of the few district courts on Long Island. The Suffolk County District Court handles misdemeanors, violations, and small claims. Case data from this court feeds into the WebCriminal system, which gives online access to local criminal case information. This is a free resource that anyone can use to search for pending cases and dispositions in the Suffolk County District Court.

Statewide Background Check Through Court Records

The Office of Court Administration runs the Criminal History Record Search. It costs $95 per name. The search covers all 62 New York counties, so it picks up records from Suffolk County courts along with every other jurisdiction in the state. Each alias or date of birth variation counts as a separate search with its own fee.

Results show open and pending criminal cases plus convictions from county, supreme, city, town, and village courts. Sealed records do not show up. Town and village court data between May 1991 and 2002 may be incomplete. Results are not certified. A certified Certificate of Disposition must come from the court where the case was filed.

Online searches that return no record come back in real time. If records are found, staff review them and email results the next business day. Mail requests go to the Criminal History Record Search Unit, 25 Beaver Street, Room 940, New York, NY 10004. Make checks payable to the N.Y.S. Office of Court Administration. A returned check triggers a $20 fee.

The Division of Criminal Justice Services is the only source for fingerprint-based criminal history in New York. Under Executive Law Article 35, DCJS holds the central database. Submit fingerprints through a MorphoTrust/IdentiGO location in Suffolk County to start the process. The fee is between $62 and $65.

DCJS rap sheets include arrests, indictments, convictions, and sentences from agencies across New York State. A suppressed response omits sealed records. An unsuppressed response shows everything, including records sealed under CPL 160.50, CPL 160.55, CPL 160.58, and CPL 160.59. Which response you get depends on the legal authority behind the request. You cannot request another person's records without specific legal basis.

Suffolk County Sheriff's Office Records

The Suffolk County Sheriff's Office is at 100 Center Drive, Riverhead, NY 11901. The sheriff handles civil enforcement, court security, and corrections for the county. The office keeps arrest records and booking information at the Suffolk County Correctional Facility.

Records requests go through FOIL. Write to the Records Access Officer at the sheriff's office. Be clear about what records you want. The office must respond within five business days under FOIL Sections 84 through 90. Standard copy fees are 25 cents per page. The sheriff also provides fingerprinting services for people who need prints taken for state-level background checks.

The Suffolk County Police Department is a separate agency from the sheriff. It handles most law enforcement for the western part of the county. Records from the police department also fall under FOIL. Each town police department in Suffolk County keeps its own records too.

Suffolk County Sex Offender Registry Search

DCJS runs the Sex Offender Registry under the Sex Offender Registration Act. Level 2 and Level 3 offenders are posted in a public online directory. For Level 1 offenders in Suffolk County, call 800-262-3257 with the person's name and one identifier. The registry includes residence addresses, conviction information, and photos.

Level 3 offenders verify their address every 90 days. Sexual predators and predicate sex offenders stay on the registry for life. All others remain for 20 years. Sign up through NY-ALERT for address change notifications. The registry is one part of a broader background check for Suffolk County residents.

Clean Slate Act and Suffolk County Records

The Clean Slate Act took effect November 16, 2024. It calls for automatic sealing of eligible conviction records. Misdemeanors become eligible three years after the sentence is done. Felonies need eight years. No new convictions or pending charges can exist during the waiting period.

OCA has up to three years to build the automated sealing system. Until it is running, Suffolk County background check results may still include convictions that will eventually be sealed. Sex offenses requiring SORA registration and non-drug Class A felonies are never eligible. People who do not qualify for automatic sealing can still petition under CPL 160.59. Certificates of Relief from Disabilities and Certificates of Good Conduct remain available under Judiciary Law Section 255.

Corrections and Incarceration Records

The Department of Corrections and Community Supervision operates state prisons across New York. The DOCCS online inmate lookup lets you search by name, DIN, or NYSID number. Results show facility, sentence, parole eligibility, and conviction data going back decades. A parolee lookup is also available.

Suffolk County runs its own correctional facility for local inmates. Booking records and jail population data are held by the sheriff's office. For state prison records beyond the online tool, send a FOIL request to the DOCCS Records Access Officer. The VINE system provides victim notifications about custody changes.

FOIL Public Records Access in Suffolk County

The Freedom of Information Law covers records held by Suffolk County agencies. Under FOIL Sections 84 through 90, any person can request government records. You do not need to be a New York resident. Agencies must respond within five business days. Denials can be appealed within 30 days. If the appeal fails, a proceeding under Article 78 in Supreme Court is the next option.

DCJS criminal history records are not available through FOIL. Those require fingerprints. Court records, incident reports, and most other agency records in Suffolk County do fall under FOIL. The standard copy fee is 25 cents per page.
